GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The Manager is responsible for the overall administration of the Board of Trustees activities and the General Counsel’s Office. This position oversees coordination of and review of all materials for the Board of Trustees, Executive Committee, Acquisitions Committee, Nominating and Governance Committee, Legal Committee, and Compensation Committee. The Manager acts as liaison for administrative matters for all other Board Committees, including establishing administrative procedures and ensuring archival completion of materials. This position oversees the Board calendar; coordinates with all Museum departments; coordinates new Trustee orientation; acts as liaison for Co-Chairs of the Board; and oversees production of Trustee publications, including Trustee Handbook, Trustee directories, and Museum By-Laws. This position also manages the Associate Coordinator for Acquisitions and helps oversee the Museum’s acquisitions process, manages the General Counsel’s Office administrative staff, and oversees all administrative issues in the General Counsel’s Office.

PRIMARY RESPONSIBILITIES & DUTIES:

Oversee coordination of and review of all materials, including preparation of agendas and supporting papers, for Board of Trustees, Executive Committee, Acquisitions Committee, Nominating and Governance Committee, Legal Committee, Compensation Committee and other Board committee meetings.

Administer electronic Board portal.

Coordinate all Trustee meetings in-person and virtually via the Zoom platform.

Oversee scheduling of and administration of all Visiting Committees.

Coordinate new Trustee onboarding and orientation.

Handle Co-Chairs of the Board requests related to scheduling (departmental visits, etc.)

Oversee revisions of Trustee directories, By-Laws, and Trustee Handbook.

Hire, train and manage administrative staff in the Counsel’s Office.

Manage administrative functions of Counsel’s Office and assist with Archives administrative tasks as assigned.

Prepare office budget and maintain office p-card account.

B-level approver for Counsel’s Office.

Set Board and Office calendar each fiscal year.

Supervise temps and volunteers.

Reviewer and primary approver for timekeeping.

Administer Counsel’s Office SharePoint sites, public and internal.

Update Counsel’s Office procedures as needed.

Interact extensively with senior management and their staff on a range of administrative and other issues

REQUIREMENTS & QUALIFICATIONS:

Experience and Skills:

· Ability to interact and communicate effectively with members of the Board of Trustees and all Museum staff, as well with Museum donors and visitors.

· Ability to handle sensitive and confidential information.

· Proactively build strong relationships and trust with colleagues at all levels of management.

· Proven experience with a variety of high-level tasks.

· Ability to screen and prioritize specific inquiries.

· Ability to take initiative and work well under pressure, especially in situations with shifting priorities.

· Excellent organizational skills, detail oriented, and ability to manage multiple tasks simultaneously.

· Strong leadership skills, ability to create a motivating work environment and foster teamwork.

· Strong written and verbal skills; ability to communicate and interact at all levels of the organization.

· Thorough proficiency in Microsoft Word, Outlook, and Excel with willingness to learn new computer programs required.

Knowledge and Education:

· B.A. required; M.A. preferred.

· Familiarity with art history and standard museum procedures, policies, and practices preferred.

· Experience in Arts Administration preferred.

· Interest in exposure to legal issues helpful.

Job Type: Full-time

Pay: $280,000.00 - $391,439.00 per year
